Room Notes are a useful way to record general observations about a room or location during an asbestos survey.
They help demonstrate that you have inspected the areas within the agreed scope, even when no asbestos-containing materials are identified.
Room Notes are referred to as Location Notes within Flow so they can be used in external areas and other locations not typically designated as "rooms".
You can add Location Notes while completing your survey in the Flow Mobile app.
For example, a Room Note might say:
"Plasterboard walls, painted ceiling and engineered wood flooring."
Adding Room Notes can help you:
Note: Use Inspect → Location to record what you observe about the room or location as a whole, and use Inspect → Items when you need to record relevant asbestos information, sampling details and assessment scores. This keeps your survey organised and makes it easier to distinguish general room observations from detailed asbestos inspection records.
An alternative approach is to use Expanded Room Notes.
With this customisation, each room element is displayed separately and you either manually type the relevant material, or select the one from a list of options. For example, the Doors field could offer options such as Timber or Steel.
This can be particularly useful when copying a similar room. Instead of rewriting all the notes, you can copy the room and change only the values that are different.
You still retain a general Location Notes field for anything that doesn't fit into the predefined options.
Expanded Room Notes are a template customisation, so you'll need to ask the Flow Mobile team to enable this for your template.
